You can do this yourself or hire an accountant to do it, but it needs to be done (in most cases someone with accounting degrees will be better for this job). This daily information will pay off for your company in the long run as you will be able to make much better decisions than those who aren’t tracking their costs.

Another advantage of purchasing software is to create reports. Most accounting software will have pre-built reports that will be useful. These reports come from accountants that have years and years of experience. In addition these software packages will allow you to customize the reports to your needs.

Note that you could use spreadsheets to do all of this. Spreadsheets have the advantage of being extremely customizable and just about everybody knows how to use them. However, a software package built for restaurants will come ready to go, meaning that you won’t have to wonder if you are tracking the right items. The pre-built reports within the software will give you a foundation from which you can build off of. You would be surprised how hard it is to start an accounting system from scratch (even if you are a professional accountant).

One last note on the advantages of accounting software for a restaurant. As accurate information comes in each day you will be able to realize which dishes are most profitable. You will then be able to focus on those dishes and end up making more money for your restaurant. You will also be able to identify which dishes are losers. I’m always hesitant to say you should get rid of a certain plate because of the consistency issue which we discussed earlier. People will stop coming to your restaurant if a dish they like is not served. You’ll have to use the information you have gathered to perform a cost-benefit analysis on the amount of money you would save from getting rid of a dish compared to the amount of money you will lose because customers will leave. I personally don’t think restaurants do a very good job of this analysis because I’ve decided not to return to multiple restaurants because their menus changed.

As mentioned previously, most accounting software is quite similar (whether they be church software programs or business software programs). Some packages may look more flashy than others, but they all do the same thing (account for information). One thing you will want to look for is compatibility. You’ll want to make sure that your accounting software can talk with your point-of-sale software and with any other possible software you might have at your restaurant. This will save you a lot of time spent re-entering data. It will also help you avoid a lot of errors that occur when data is entered manually twice. A streamlined system where all areas of the business can talk to each other is the best.

If your restaurant wants to survive in the days of the dollar burger then you’ll need to make smart decisions. You can’t make smart decisions without good information and a little bit of luck. I don’t know of anything that can help you with luck, but a good restaurant accounting software package and a good accountant can provide you with the information you need to succeed.
