Effective Project Management
89Keys to Effective Project Management
Effective project management is more than just making a plan and trying to stick to it. Those are the basics, of course, but there's more to completing a project effectively and achieving success than that. Naturally, you'll want to use all the tools that are available to you, like project plan documents, milestone reviews and the documentation and guidelines that can be found in most good project management software packs or downloadable forms (don't forget about project time management tools). But some basic concepts can also help you meet your project goals in the best way possible.
There are three basic keys to successful and effective project management, and they all involve understanding what goes into a successful project and handling it properly. You have to understand how to manage the project resources, the time allotted, and the budget. While part of project planning helps you detail these things out, it can also help to look at the overall big picture first and then narrow down to the fine elements.
Handling Resources for Effective Project Management
The resources you'll use during your project includes the people who
will work on the tasks; the equipment you'll use like computers,
software, vehicles and other tangible items; and materials like paper,
ink, construction materials and any other goods. When you look at
resources this way, the person operating a software program that prints
out a banner is the human resource in the equation, while the software,
the computer and the printer are the equipment, and the paper and ink
are the materials.
People are the most valuable resource, because no matter how good the
equipment or how abundant the materials, if you have the wrong people in
the wrong places, the project will suffer. Effective project management
includes proper staffing so that the employees with the most
appropriate skills and talents can use them where they're needed, and
you can get the most out of their efforts. Having the proper equipment
available to do the job and enough materials to carry out the project management plans are also crucial. All of these things should be considered and
planned for during the early phases of the project.
Efficient Time Management
Time management is something that individuals to corporate moguls often
have a hard time mastering, because time is intangible and impossible to
see as it slips away from us. But proper use of time is essential in
effective project management. The right people, equipment and materials
will do little good if there's not enough time to complete the project
properly. During the planning phase of the project management project life cycle,
all of the tasks that will be required to complete the project should be
listed out, and the amount of time each will take needs to be
estimated.
This can be one of the hardest parts of planning, because estimating the
time something takes is a bit of an art more than a science. Estimating
the time it takes to do something in the best of times is going to be
far different than how long it takes when there are interruptions, power
outages, computer problems and staff off sick. A reasonable estimation
based on the average amount of time something takes, however, is
important because it will help you effectively manage the project and
get it done within your deadline.
Software can be a big part of effective project management, especially
during this part of the process. If you're baking at home, you'll get
the ingredients out, mix them one by one, put the dough in the pan and
continue along chronologically. In a team project, often there are
several steps going on at one time rather than in a linear fashion, and
timing the ends of those tasks to meet up so the next steps can be taken
is best done with project management software that will help you
organize and prioritize. Good software can even help you figure out
exactly when to start tasks and how to schedule them so you can avoid
delays and gaps where team members are idle waiting on other parts of
the project before they can begin.
Effective Budget Management
Figuring up the costs of paper and ink, raw materials for construction,
hours spent on a software program and some other expenses isn't that
difficult. When the prices are clearly laid out, it's simply a matter of
figuring up how much you need or how many personnel hours it will
likely take, and multiplying. The problem with budget comes in when
materials get wasted on mistakes or unexpected problems crop up. Plan
for these things ahead of time by building a cushion into the budget.
Plan for a few problems and add the potential cost to the budget total,
just in case. And remember that one of the fastest ways to stay on
budget is to get the project done by the deadline.
Resources, time and money are the three biggest areas to focus on and
rein in for successful, effective project management. Keep tabs on these
areas, and you'll be better able to meet your goals.

Great and practical hub. Projects can be managed more efficiently with usage of PERT and CPM techniques.
